Privacy Policy

Effective date: October 30, 2026

Smart Goal Academy (“Smart Goal”, “we”, “us”) is a non-profit youth soccer academy in Ontario, Canada. We respect the privacy of the children who train with us and of their parents and guardians. This policy explains what personal information we collect through this website, our registration forms and our coaching app, why we collect it, and the choices you have. We follow the principles of Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA).

Information we collect

When you contact us or ask for a free trial lesson (website contact form): your name, email address and/or phone number, your preferred training location and anything you write in your message.

When you register a child (season, one-lesson, individual training or Game Day registration): the parent or guardian’s name and contact details; the child’s name, date of birth and age group; emergency contact details; health or medical information you choose to give us so we can keep your child safe (for example allergies or conditions a coach should know about); consents and waivers you sign, including your choice about photos and video.

While your child trains with us (coaching app): which group and location your child attends, attendance for each session (on time, late or absent), a simple attitude/participation rating, short coach notes about progress, and progress summaries built from these records.

Staff and coach accounts: name, email, phone number, assigned groups and locations, and sign-in activity.

Technical information: our servers keep standard logs (such as IP address, browser type and the pages requested) to keep the site secure and working.

How we use it

  • to answer your questions and book trial lessons;
  • to register children, organize groups and schedules, and contact parents about sessions, changes and cancellations;
  • to keep children safe during training and to act in an emergency;
  • to track attendance and help coaches follow each child’s development, and to share progress with the child’s parent or guardian;
  • to run and protect our website and app, and to meet legal, insurance and accounting obligations.

We do not sell, rent or trade personal information, and we do not use it for third-party advertising.

Children’s information

Children’s information is provided by their parent or guardian, who consents on the child’s behalf. Progress records and coach notes are visible only to the child’s coaches and to Smart Goal managers. Photos or videos of a child are published (for example on this website or social media) only when the parent or guardian has agreed to it on the registration form, and that consent can be withdrawn at any time.

Artificial intelligence

Coaches and managers may use an AI writing assistant (Anthropic’s Claude) to tidy up a coach’s short note or to summarize a child’s attendance and progress trend. When this happens we send only dates, attendance and attitude marks and the coach’s note — never the child’s name, date of birth or contact details. A coach or manager reviews anything the assistant writes.

Who we share information with

We share personal information only with:

  • our coaches and staff who need it to run training;
  • service providers who host or operate our systems for us — website and database hosting (Hostinger), email delivery (Hostinger and Brevo), and the AI assistant described above — under terms that require them to protect it and use it only to provide their service;
  • emergency services, when a child’s safety requires it;
  • authorities, when we are required by law.

Some of these providers may store or process information outside Canada (for example in the United States or the European Union), where it may be subject to the laws of those countries.

Cookies and embedded content

This website uses a small number of cookies that are needed for it to work: a security cookie that protects our forms, and a sign-in cookie for staff. We do not use advertising cookies. Some pages show embedded content from YouTube (in privacy-enhanced mode) and Google Maps; when you play a video or view a map, those services may set their own cookies under their privacy policies.

How long we keep information

We keep contact-form messages for up to two years. Registration, consent and attendance records are kept for the season and for up to seven years afterwards for insurance, safety and accounting purposes, unless the law requires a different period. When we no longer need information, we delete it or make it anonymous.

How we protect it

Our website and app use encrypted connections (HTTPS). Passwords are stored in hashed form, sensitive settings are encrypted, and access to records is limited by role: coaches see only their own groups and locations. No method of storage or transmission is completely secure, but we work to protect your information and will notify affected families if a breach creates a real risk of significant harm.

Your choices and rights

You may ask to see the personal information we hold about you or your child, ask us to correct it, or withdraw a consent (for example for photos), subject to legal and contractual limits. To do so, contact us using the details below. We will respond within 30 days.
